Customer Service and Logistics Coordinator – Assistant Administrator – (Human Capital Moz) Tempo Inteiro

• Issue credit applications, ensure data completeness and return to Head Office Administration for account conversion;
• Create, send and convert customer quotes;
• Ensure customers understand Terms and Conditions of hire;
• Ensure the accuracy of delivery venue and rental details;
• Follow up on queries, quotations and current orders;
• Manage rental off hires;
• Communicate with and assist Sales Reps where necessary;
• Improve Net Promoter Score (CSI);
• Ensure company policies and procedures are adhered to within the branch;

• Handle incoming sales calls and re-direct when necessary;
• Follow up on all enquiries received;
• Allocate new customers or opportunities;
• Ensure proper interaction with sales and assist where required to ensure customer relation is maximized;
• Turn calls received and convert into orders;
• Ensure maintenance of contact database and follow ups;
• Assist sales staff with rental and products;
• Manage COD hires & pro-forma invoices were necessary.

• Resolve queries with customers;
• Take full responsibility for rental from beginning to end;
• Ensure that all the relevant information is obtained and captured correctly into database from the customers to ensure accuracy for the full rental, I,e, order numbers, period of rental, weekends, etc;
• Issue Credit Apps and Terms & condition to all new customers;
• Vet all returned Credit Apps from customer and ensure all relevant information has been supplied, before handing to Debtors.

• Manage all customer order numbers & administration;
• Manages all off hires;
• Follow up on all missing paperwork and customer orders;
• Ensure company policies and procedures are adhered to;
• Manage all cross border files and maintain records and documentation for cross border rentals.

• Ensure machines are allocated;
• Communicate all late deliveries to external sales and customer well as customer;
• Update diesel fill list and audit diesel slips to tank reading;
• Prepare weekly logistic stats;
• Manage allocation, loading and associated administration;
• Plan deliveries and collections as per customer request;
• Communicate delivery and collection plans with drivers;
• Ensure the vehicles (trucks and bakkies) are inspected daily.

• Plan and distribute job cards;
• Ensure maintenance cycles are correct and maintained;
• Ensure customer is informed regarding breakdown progress and query resolution;
• Planning of technicians so SLA’s on breakdowns and maintenances so as to avoid SLA breach;
• Record items, hours and counter readings from job card;
• Raise purchase requisitions and communicate purchase order numbers with suppliers as well as follow up on outstanding payments;
• Order spares as per minimum stock levels;
• Monthly stock take of technician vans as well as main warehouse;
• Ordering and issuing of PPE.

• Follow up on expiring customer purchase orders;
• Managing COD orders and pro forma invoices;
• Daily (anniversary) and monthly invoicing – ensure the correct rates and dates are billed to minimize credit notes;
• Ensure that the customer receives all outstanding invoices timeously;
• Manage the debtors book and attend to customer requests and queries;
• Allocate payments to accounts;
• Mitigate risk by identifying problematic accounts and blocking these accounts from trade. The blocking of accounts must be communicated to the sales team;
• Visit customers immediately should a customer account fall into arrears status.

• Must be able to prepare logistical stats: Analyze potential problems in deliveries/logistics and embark on corrective measures;
• Must be highly organized and able to organize others;
• Able to communicate verbally and in writing;
• Able to write clear, understandable reports;
• Must be able to manage and administer cross border requirements within process for machine rentals;
• Fully computer literate, including Microsoft Office.
