About the Hiring Department

ELIM is looking to hire an Admin & Finance Assistant to join our Admin & Finance Team. This department supports the Business Development Team (BD) on submission of the proposals and the Technical Team on the administrative management of project implementation. The Admin & Finance Team is also the central point for the organisation’s corporate services which include financial management, human resources, office administration, and contracting and procurement.

About the Job

The Admin & Finance Assistant will work closely with the Finance Manager supporting the following functions:

Office Management (50%)

• Performance of daily office administration tasks including overseeing all office-related maintenance and health and safety provisions;
• Processing and filing of payments and administrative documents;
• Proper registration of daily expenses;
• Filing and update of all corporate compliance documents (licenses, insurances, taxes, etc.);
• Conduct periodic submissions in compliance with fiscal, social and legal corporate requirements to the relevant government institutions;
• Supervision of Mutiana Investmentos Administrative staff;
• Set up, schedule, and coordinate meetings and conference calls; prepare and distribute agenda, take minutes and finalise for distribution;
• Coordination of existing service providers and suppliers, and facilitation of all necessary procurement.

Accounting (35%)

• Daily accounting posting into proper package;
• Petty Cash management and weekly reporting;
• Payment of all the taxes (INSS, IRPS, VAT, IRPC etc);
• Weekly report of cash book;
• Contribute to Monthly Financial Reporting to the Directors;
• Contribute to the Annual Financial Reporting to the Directors.

Project Implementation  (15%)

• Support the submission of proposals including quality control and packaging;
• Make logistic arrangements to support project implementation;
• Manage the contracting of field staff and supporting services;
• Manage all necessary project related payments;
• Contribute to project expense reconciliation for reporting and invoicing.
